Our Promise To You
We will provide a service to you the client and collect a commission from the venue booked as an Agent so there is no cost to use our service.
We will research and propose a minimum of three suitable venues, check availability, negotiate the best deal we can and provisionally reserve the venues you are interested in, saving you time and money.
We will arrange site visits for you at your chosen date and time.
We will give Venues feed back on your behalf after events have taken place
What are your terms & conditions?
So that we can continue to offer a free of charge service and keep delivering high quality venue finds, we ask that you use our service fairly and abide by the following terms:
- By appointing us to carry out a venue find, please leave it with us and refrain from contacting any venues or other Venue finding agencies whilst we are searching. We are happy to contact any venues you would like to try – just let us know at the enquiry stage. We will place all the venues on provisional hold on your behalf to ensure that you do not lose the space to anyone else. It can become very complicated and confusing for all concerned if several venue finders are contacting the same venues and trying to provisionally hold space for the same event, so please leave it with us until your agreed response time.
- If you would like to go ahead with a booking, please advise us and we will make the necessary arangements. We will then put you in touch with a dedicated contact at the venue who you can liaise with if you wish.
- Should you wish to confirm with a venue that was proposed by us directly, or by any other means which would result in Swift Venue Finders Ltd’s loss of commission, we reserve the right to invoice you (the client) for the total anticipated loss of earnings based on the commissionable value of the enquiry.
Please remember that by engaging our services to search for venues, you are under no obligation to go ahead with any of our proposed venues. All we ask is that if you do like one of them, and decide to hold your event there, you confirm the booking through us.
Usually for some unusual venues such as warehouses or certain restaurants, we will advise you of this in advance and apply a handling fee.
Whilst we will do our best to ensure the accuracy of our work, it is your responsibility to check all correspondence issued by the venue and make any changes or amendments back to us, we will then ask for a new contract and if you could ensure that it is correct before signing and returning it to us here at Swift Venue Finders Ltd to avoid any unnecessary charges.
Rates quoted are based on number of delegates in the proposal – should these decrease or increase considerably the Venue will reserve the right to recalculate their charges to reflect this change.
Swift Venue Finders Limited will not be responsible for any payment to Venues.
We will only hold three venues at any one time for any one event on a two week provisional basis. We reserve the right to contact you for a decision on any space we are holding for you, if a venue has another booking for the same date. You must then make a decision to either make a firm commitment or release same space.
Confirming a Booking
Once you tell us that you would like to go ahead with one of our suggested venues for your event, we will confirm all of your event details in writing on your behalf and copy you into the correspondence. You will then be required to sign a contract and where an invoice is required by your Company after the event you will need to complete a credit application form provided by the venue.
On completion of the above you are then committed to the terms and conditions of the Venue, and must be adhered to, to avoid any unnecessary charges.

Cancelling a Booking
In the unlikely event that you need to cancel a booking, please refer first of all to the venue’s terms and conditions as you may be liable to full charges. Having checked the terms and conditions, contact us at Swift Venue Finders in office hours and we will inform the Venue.
As mentioned above you may be liable for cancellation charges and these must be paid by you direct to the Venue on receipt of invoice within the required period.
Payment
All monies due to the Venue will be your responsibility and must be paid directly to the venue under the Venue’s Terms and Conditions. As mentioned above, this may be by Invoice if Credit facilities have been established prior to your arrival or by credit card on the day of the event.
PLEASE NOTE THAT A FEW WEEKS WILL BE REQUIRED TO SET UP A CREDIT ACCOUNT SO IT IS IMPORTANT TO ACT ON THIS AS SOON AS YOU CAN TO AVOID UNNECESSARY STRESS.
Swift Venue Finders will not be responsible for any outstanding debts.
